For more information, visit Position Summary Under general supervision and according to established policies and procedures, performs a variety of dutiesincluding: sorts, delivers and picks up postal mail; receives, transmits and delivers all facsimiles; maintainsall equipment supplies for the Princeton Office. This position is also responsible for the reproduction ofdocuments accomplished by operating high speed and color copiers, performing various binding jobs,meeting deadlines and working as a team player by maintaining good communication lines with Attorneys,Paralegals, Secretaries and other Service Departments and Staff. Observes confidentiality of client and firmmatters. Additionally, access to our U.S. offices will be limited to personnel who are fully vaccinated from COVID-19. Essential Functions Reproduce and print documents, per requested instructions, on high volume copiers. Prioritize all incoming jobs. Key client/matter numbers in the cost accounting system. Bind documents in various styles as requested and operate paper drill and cutter. Quality check the copy and print jobs and keep appropriate records. Communicate with attorneys, paralegals, secretaries and other service department personnel. Send electronic fax transmissions as needed and route incoming faxes. Sort and distribute incoming and interoffice mail and handle nightly mail drops. Operate mail machinery. Call for Service as needed on Copier and mail equipment. Ensure that Conference Rooms are set up and cleaned properly. Order office and kitchen supplies for Princeton Office. Stock satellite copy, printer and kitchen areas. Submit building maintenance requests to property management as needed. Assist with printing and maintaining building access cards in CCure. Assist with Record Requests and Hospitality Requests as needed. Submit Check Requests for Office Services supplies and services. Assists in all other areas of Office Services, as required. Requirements Condition of Employment: All personnel designated as office-based, hybrid or flexible under the Firm's Flexible Work Policy are required as a condition of their employment to have had the initial series of COVID-19 vaccinations, meaning either two doses of Pfizer or Moderna or one dose of Johnson & Johnson. Education: High School Graduate or its equivalent / Some College Preferable Experience: A minimum of three years of experience on high volume copiers. Experience in a law firmOffice Services & Support environment preferred. Experience with Cisco telephone system is desirable. Skills: Must be able to understand and follow instructions. Must be able to organize and prioritize numerous tasks and complete them under timeconstraints. Must display excellent customer service skills and professional manner (on the phone and inperson) with clients, attorneys, paraprofessionals, secretaries, and other staff members. Must be able to program, operate and troubleshoot high/low speed and color copiers, printersand MFD's (multiple function devices). Ability to work under pressure. Must be able to make productive use of working hours and be flexible to change shift hours as needed. Other Supervisory Responsibilities: None. Equipment To Be Used: Personal computer and other office equipment such as telephone, calculator, fax, machine, copier, scanner, etc. Typical Physical Demands: Requires constant standing, bending, stooping and reaching. Requires lifting,possibly up to 60 pounds or more and as high as eight feet. Requires manual dexterity sufficient to operatestandard office machines such as high speed copiers (being able to clear jams as they occur), bindingequipment, paper drill, cutter, and cost accounting system. Typical Mental Demands: Must be able to deal with stress associated with a fast paced work environment,including handling the demands of multiple tasks on a daily basis. Must be able to work well as a memberof a team and make judgment decisions. Must be able to adapt to changing work situations and grasp andapply new ideas. Must be able to relate and interact with people at all levels within the Firm. Must be ableto deal with constant interruptions and be able to pick up where left off. Requires normal range of hearingand vision. Working Conditions: Work in a typical office setting characteristic of an Office Services & Supportdepartment. At times, must work with little to no supervision. The position occasionally absorbs more thanforty hours per week. Overtime must be approved by the Business Manager.
